When we install and run systems for a client, we may process information belonging to that client's own customers, including names, contact details and enquiry details. In those cases we act as a data processor and the client is the data controller. We only process that information on the client's instructions.


Call recording and AI-handled calls

Some of the services we provide involve an automated system answering, recording and transcribing telephone calls.

Where we operate such a system on our own behalf, calls may be recorded and transcribed so we can respond to your enquiry, keep an accurate record and improve the service.

Where we operate such a system for a client, that client is responsible for how call data is used, and their own privacy policy applies.

Recordings and transcripts are held for no longer than needed and are not sold or shared for marketing purposes.

We share information with the suppliers who help us run the business. Each is bound by contract to protect it and to use it only for the purpose we specify.

Email and file storage providers, used for day to day correspondence and documents

Telephony and voice AI providers, used to route, answer, record and transcribe calls

Transfers outside the UK

Some of our suppliers are based outside the UK, including in the United States. Where information is transferred outside the UK, we make sure it is protected by an appropriate safeguard, such as UK adequacy regulations or the International Data Transfer Addendum to the standard contractual clauses.


How long we keep it

Enquiries that do not become clients: up to 24 months from last contact

Client records: for the duration of the engagement and 6 years afterwards, to meet accounting and legal requirements

Website analytics data: as set by the analytics provider

When information is no longer needed, we delete it or anonymise it.
